Administrative Assistant and Office Manager
Summary/Objective
Team NEO is looking for a highly organized and detail-oriented Administrative Assistant and Office Manager to keep our downtown office running smoothly and efficiently. This is a great opportunity to assist our employees with diverse projects as well as provide general administrative and programmatic support for select strategic initiatives. Our Administrative Assistant and Office Manager will be responsible for the general operation of our office including answering incoming phone calls, greeting visitors, ordering supplies, working with various vendors, and general office duties, as needed. In addition, the Administrative Assistant and Office Manager will provide a full spectrum of administrative support and
professional representation for members of the leadership team. This position handles confidential personal and professional information of the organization.
Also, the role will be asked to support scheduling, coordinating and catering larger meetings in support of our industry, talent, sites and engagement initiatives. This may be in the form of outreach and planning, CRM data entry, or task list development and management.
Key Responsibilities:
Office Administration
• Receive and process mail for the office
• Maintain and update files, contacts, e-mail distribution lists
• Manage hard copy and electronic files, records, and databases for easy access to appropriate staff
• Inventory and order office supplies and breakroom supplies
• Support maintenance of office equipment such as printers, fax, and postage machine
• Ensure kitchen, conference rooms and any other common areas are kept tidy
• Provide support to IT staff and landlord as necessary
• Preparing and making bank deposits
Leadership and Finance Team Support Including But Not Limited To:
• Salesforce support for a variety of functions across the organization including managing contacts, providing updates, and event invitations
• Run Salesforce reports, create dashboards and run basic data analytics
• Save documents to SharePoint and file hardcopies of documents in an organized fashion
• Calendar management: meetings with internal and external stakeholders
• Meeting set-up: greeting guests, conference room preparation, food orders
• Assist as requested with expense reports, time reporting, and supporting documentation for credit card transactions for certain staff Substitute for the Executive Assistant in her absence
Other duties related to the business of Team NEO as assigned.

Work Location
• Downtown Cleveland with opportunities for flexibility, as needed
Travel and Schedule
• Some travel/driving may be required. All expected to be in-region.
• Must be available to work occasional off-hours. (Events and meetings will involve some early mornings, evenings).
• Must be available during standard business hours Monday – Friday
Required Education and Experience
• High school or equivalent
• Minimum 5-years year of relevant experience preferred
• Excellent written and verbal communications skills
• Exceptional organizational skills
• Exceptional judgment, discretion, and tact
• Ability to work effectively and independently in a fast-paced environment
• Ability to handle multiple projects simultaneously and prioritize as appropriate
• Anticipate needs of members of the leadership team and other staff members, take initiative with tasks
• Advanced knowledge, application and proficiency in Microsoft Word, Excel, PowerPoint and Microsoft Outlook as well as SharePoint
• Salesforce CRM experience is preferred or willingness to learn
